ADULT CHAPTER OFFICERS

Chapter Officer Descriptions:

The President is the principal officer of the chapter. S/he shall preside at all meetings and shall have general supervision of the affairs of the chapter, and shall perform such other duties as may be properly required. S/he shall also be an ex-officio member of all committees. S/he shall submit an Annual Report to International Headquarters.

The Vice-President shall be designated 1st, 2nd, 3rd, etc. and shall exercise the function of the President in that order during his/her absence or disability. Each Vice-President shall have such powers and discharge such duties as may be assigned to him or her by the President, such as acting as overseer of various chairs and their committees. (The 1st Vice President may be designated as President Elect).

The Secretary shall be responsible for keeping minutes of each meeting and forwarding copies of them to International Headquarters, acting as overseer of the Historian, the Newsletter Editor, and the chair of PTP Programs within the chapter. It is the job of the chapter secretary to create a system to collect, store and retrieve all non-financial information for the organization. While the treasurer maintains financial records, the secretary must set up files of the following:

1. Written notices of board meetings and signed copies of minutes of board meetings.
2. Permanent legal papers such as the organization's bylaws, the state certificate of nonprofit incorporation, the federal employer identification number, and the federal tax exemption ruling letter.
3. Correspondence.
4. Samples of materials from similar organizations.
5. Samples the board may want to copy now or later, i.e. annual reports, thank you letters, personnel policy.
6. All publications, permits, and records from the post office.
7. Newsletters, brochures, and fact sheets.
8. Clippings of newspapers about the group and recordings of television and radio segments.

The Treasurer shall be responsible for the collection of membership dues and payment of dues to International Headquarters. S/he shall collect, administer and expend such other funds as may be received from time to time. S/he shall make regular financial reports to the membership and at other times as may be requested. S/he shall act as overseer of the Membership Committee, Fundraising Committee, Travel Committee, Budget Committee, Youth Activities Committee, and their chairs.

The role of the Chapter Treasurer will vary according to the size and activity of the chapter. It is the job of the Chapter Treasurer to create a system to collect, store and retrieve all financial information important for the organization. The treasurer will set up the books and records for the organization, open and maintain bank accounts, help prepare the budget, and handle payment and reporting of dues to International Headquarters.

The treasurer works as a partner to the board of directors as a whole. She or he will record all money raised and spent by the organization and prepare reports to enable the board to make and review its plans. The treasurer also will prepare annual reports for tax regulatory agencies as required.
